Scan to email or scan to folder not working: what to check

Sindoh Malaysia · Updated

Scan to email usually stops working because the email account’s password or security settings changed, or the mail server details are wrong. Scan to folder usually fails when the shared folder’s path, permissions or the user’s password have changed. Check the error message on the printer first.

Safety and liability: follow these steps at your own risk and only as far as your device’s manual allows. Switch off and unplug before reaching inside. Read the full notice at the end of this guide.

The control panel usually gives a reason, such as a login failure, a server not found, or the file being too large. Note it down. It narrows the problem quickly.

Scan to email

  • Changed password. If the email account the printer sends from had its password changed, update it in the printer’s settings.
  • Email security changes. Many email providers now block older sign-in methods. The account may need updated settings or an app password.
  • Server details. Check the outgoing mail (SMTP) server, port and encryption settings are correct.
  • File size. Large scans may exceed the mailbox limit. Try a lower resolution or scan fewer pages.
  • Spam filters. Check the recipient’s junk folder.

Scan to folder

  • The folder moved or was renamed. Check the network path saved on the printer.
  • Permissions. The account the printer uses needs permission to write to that folder.
  • Changed passwords. If the Windows user’s password changed, update it in the printer’s address book.
  • The computer is off or asleep. If the folder is on a PC, it must be on.
