Printer showing offline? How to get it printing again

Sindoh Malaysia · Updated

When a network printer shows offline, check it is switched on and not showing an error, confirm it is connected to the network, then clear the print queue and restart your computer’s print spooler. If the printer’s IP address has changed, update the printer port or re-add the printer.

Safety and liability: follow these steps at your own risk and only as far as your device’s manual allows. Switch off and unplug before reaching inside. Read the full notice at the end of this guide.

1. Check the printer itself

  • Is it switched on and awake, not in an error state such as a paper jam or open panel?
  • Is the network cable firmly plugged in, or is it connected to Wi-Fi?
  • Print a configuration or network page from the control panel, which shows the printer’s IP address.

2. Check the network

  • Is your computer on the same office network as the printer?
  • Try opening the printer’s IP address in a web browser. If its web page loads, the printer is reachable.
  • If the IP address has changed since the printer was installed, your computer may still be looking for the old one.

3. Clear the print queue

  • Windows: open Settings, then Printers & scanners, select the printer, open the print queue and cancel stuck jobs. Make sure “Use printer offline” is not ticked.
  • Mac: open System Settings, then Printers & Scanners, select the printer and clear the queue.
  • Restart your computer if jobs will not clear.

4. Re-add the printer or update the driver

If it is still offline, remove the printer from your computer and add it again using its current IP address. You can download the latest drivers for Sindoh models from our support page.

Still offline?

Network settings vary between offices, so your IT contact may need to check the router or firewall. If the printer itself shows a network error, request a service visit.

Quick answers

Why does my printer say offline when it is on?

Usually because your computer cannot reach it on the network: the printer’s IP address may have changed, it may have dropped off Wi-Fi, or a stuck job is blocking the queue. Print a network page from the printer to check its IP address, then clear the queue and re-add the printer if needed.
