How to choose a copier rental company: 10 questions to ask

Sindoh Malaysia · Updated

A good copier supplier is clear about what the plan includes, how you are billed, how quickly they respond in your area and what happens at the end of the term. Ask the same questions of every supplier and get the answers in writing so you are comparing like with like.

The 10 questions

  • 1. What is included? Delivery, installation, maintenance, toner, parts and training, or only some?
  • 2. How am I billed? Per page, a fixed monthly fee, or both? Is there a minimum volume?
  • 3. How are colour and black pages counted?
  • 4. How quickly do you respond to a breakdown in my area?
  • 5. Do you service my area with your own technicians?
  • 6. How long is the term? What happens if I need to end early?
  • 7. Can I upgrade if my volume grows?
  • 8. Who supplies the toner, and how is it delivered?
  • 9. What happens at the end of the term? Collection, data clearing, renewal?
  • 10. Can I see the full terms before I sign?

Compare like with like

Ask each supplier to quote the same type of machine, for the same volume, over the same term. A low monthly fee with extra charges for toner or call-outs can cost more overall. Read what affects rental cost.

Check the machine, not just the price

Make sure the copier fits your work: speed, A3 or A4, colour, scanning and security features. See features to check before you rent.

Quick answers

What should a copier rental include?

Ideally delivery, installation, regular maintenance, toner, parts and training, so the only cost is the agreed rental and page charges. Always confirm in writing.

What is per-page billing?

You pay for the pages you print or copy, read from the machine’s meter, usually with separate rates for colour and black-and-white.
