How to choose the best office copier in Malaysia

Sindoh Malaysia · Updated

To choose an office copier, estimate your monthly page volume, then pick a machine rated above it with the paper size (A3 or A4), colour, scanning and security features you need. Check that the supplier can service it where you are, and compare total cost over the contract, not just the price.

1. Estimate how much you print

Monthly volume decides almost everything else. If you already have a copier, its meter reading or the supplier’s invoices will show how many pages you print. Note how much is colour. Choose a machine rated comfortably above your normal month, so it is not working at its limit.

2. Decide how fast it needs to be

Speed is measured in pages per minute (ppm). It matters most when many people share one device and print at the same time. A small team may be happy with 25 ppm; a busy shared floor may want 45 or 55. See how fast a copier you need.

3. A3 or A4?

A3 machines also print A4, and handle drawings, spreadsheets, posters and booklets. If anyone in your office prints larger than A4, choose A3. Every Sindoh colour MFP and the N600 Series print A3.

4. Colour or mono?

Colour pages cost more to print than black-and-white. If you rarely print colour, a mono machine keeps costs down. If you print proposals, marketing material or charts, a colour MFP saves sending work out.

5. Scanning

Most offices now scan as much as they print. A single-pass duplex document feeder scans both sides of a page at once. The Sindoh D7500 Series scans up to 240 images per minute this way, and the D5000 Series up to 200.

6. Security and cost control

Card authentication makes staff sign in at the printer, so confidential pages are not left in the tray. Quotas set print limits per user or department. Both are supported on the Sindoh D7500 and D5000 Series. See keeping printed documents confidential.

7. Finishing

If you produce reports or booklets, look for finishing options such as stapling, hole punching and booklet making. Ask which finishers your chosen model supports.

8. Service where you are

A copier is only as good as the service behind it. Ask who services the machine, how quickly they respond in your area, and who supplies toner and parts. Sindoh Malaysia services on-site in the Klang Valley, Seremban, Melaka, Johor Bahru, Ipoh, Penang and Alor Setar.

9. Compare total cost, not price

The purchase price is only part of the cost. Add toner, parts, servicing and downtime over the years you will use the machine. Rental plans bundle these into one monthly cost, which makes comparisons easier. Read renting vs buying a copier.

10. See it working

Before you sign, see the machine print, copy and scan your own documents. Book a demo, or compare Sindoh models side by side.

Quick answers

What should I look for when buying an office copier?

Monthly page volume, print speed, A3 or A4, colour or mono, scanning speed, security features such as card sign-in, finishing options, local service response, and total running cost over the contract.

Is A3 or A4 better for an office copier?

A3 copiers print both A3 and A4, so they suit offices that print drawings, spreadsheets or posters. If you only ever print A4, an A4 device can be smaller and cheaper.
